Adding and Editing SharePoint Calendar Events

Adding new SharePoint calendar events

To add a new SharePoint calendar event from Lotus Notes, click the SharePoint menu button in the Calendar application’s action bar and select New Event.

To set the event details:

  1. Select the SharePoint calendar where you want to create the event. If only one SharePoint calendar is defined, it is automatically selected.
  2. Set the event Subject, Start and End times, Location (optional), and Description (optional).
  3. Click the Repeat link if you want the event to occur regularly. For more information, read Adding and editing repeating events.
  4. You may attach files to the event, by clicking the Attach… button and selecting a local file, or by dragging a file from the SharePoint sidebar panel to the Attachments pane. Alternatively, you may add the URL of the SharePoint document by selecting Copy Link from the document’s context menu in the SharePoint sidebar panel and pasting the link into the event description.
  5. Click the Save and Close button in the action bar to save the event on SharePoint and make it available to other users. If custom properties are required for the SharePoint calendar, the Properties window opens automatically to let you fill them in.

Editing SharePoint calendar events

To edit a SharePoint calendar event, double-click it in your Notes Calendar view, or select it and click the Open Event item from the SharePoint menu button in the Calendar application’s action bar. If the event is part of a recurring series, you are asked if you want to open the single occurrence or the whole series of events. See Adding and editing repeating events for more information.

The SharePoint Event form opens, where you can edit event details. The event icon indicates if you are editing a single event or an event series.

The SharePoint Event icons indicate if the SharePoint event repeats or not.

If the SharePoint event is associated with a meeting workspace, a View meeting workspace link appears, allowing you to view the associated SharePoint meeting workspace in a Web browser.

Use the Delete button on the toolbar, or the Delete item in the action bar, to remove the event from the SharePoint server, and the Refresh button to fetch updated information from the server.

The action bar items change according to the type of event edited (a non-repeating event, a series of events, or an occurrence of a series), and include these commands:

  • Save and Close saves the event or series of events to SharePoint and closes the tab.
  • Repeat Options opens the Repeat Options dialog, which lets you edit the recurrence of the event. This item is not available when editing a single occurrence within a series of events. See Adding and editing repeating events for more information.
  • Edit Series is only available for individual events that are part of a series. Selecting it opens the whole series of events for editing.
  • Properties opens the Properties dialog to edit custom event metadata. This option is available only if custom properties are defined for the SharePoint calendar.
  • Copy to My Calendar copies the SharePoint event to the logged in Notes user’s calendar. For more information, read Copying SharePoint events to the personal calendar. This option is not available for new events.
  • Delete removes the event from the SharePoint server.
