Working with Documents Using SharePoint Integrator

This topic describes general concepts of working with the document list in Mainsoft SharePoint Integrator.

Many standard operations can be performed on SharePoint folders and documents directly from the sidebar document list. Some operations can be performed on multiple selected documents simultaneously.

The following operations are also available from the View > SharePoint and Edit > SharePoint application menus. When working with the standalone application, the commands are located directly under the View and Edit application menus.

Delete a folder or document

To delete a selected document or folder from the SharePoint server, right-click the item and select Delete, or use the keyboard shortcut Delete. If you delete a folder all content inside the folder will be removed. Deleted items are moved to the SharePoint site's Recycle Bin. You can restore deleted items from the Recycle Bin, which is available from SharePoint's Web interface.

Note: Sites and document libraries cannot be deleted from the sidebar.

Refresh the document list

You can refresh the document list from the Refresh item in the toolbar.

Click the Refresh button to reload the document list, and to view changes made to the SharePoint location and its server settings. You can also refresh the document list by using the keyboard shortcuts F5 or F9.

Open in browser

You can open a SharePoint site, document library in the web browser from the document list's context menu.

Right-click a subsite, document library, or folder, and select Open in Browser to open the SharePoint item in a Web browser. The Lotus Notes setting File > Preferences… > Web Browser determines if the page opens in Notes' embedded Web browser or in the default browser set in Windows.

The Open in Browser operation is also available in from the context menu of the breadcrumbs, located in the status pane below the document list. Right-clicking on the right-most element in the breadcrumbs is the easiest way of opening the current location in the browser.

Clipboard operations

You can use standard clipboard operations to move and copy documents between locations on SharePoint, Lotus Notes and your computer.

You can use standard clipboard operations (Cut, Copy, and Paste) to move and copy documents between different locations on SharePoint, Lotus Notes, and your computer. These operations are available from the sidebar's document context menu.

The Copy command menu allows you to:

  • Copy the Document itself.
  • Copy a Link to the document. This places the document name with a hyperlink to its location as text on the Clipboard.
  • Copy the Address of the document. This places the URL of the document as text on the Clipboard. The Copy Address command is also available for subsites, libraries, and folders, and in the breadcrumbs context menu in the sidebar status bar.

    The breadcrumbs context menu lets you copy the address of the current and parent locations.

Notes:

  • The Cut command currently only works when pasting the documents inside the SharePoint sidebar panel. When pasting to locations outside the sidebar, the command behaves as the Copy command.
  • The Ctrl+C keyboard shortcut works similar to dragging-and-dropping files from the sidebar. By default, a document link is copied when you select Ctrl+C. To change the default action when copying SharePoint documents using Ctrl+C, open Preferences > SharePoint, and select the check box Drag files instead of document links to Lotus Notes applications. The document’s meta-information, such as document properties, workflows, approval status, and content type, is lost when using the Copy command. Document rating

This feature applies to SharePoint 2010 only.

Viewing document rating

To view the rating of a SharePoint document:

  1. Select the document in the SharePoint Documents list.
  2. Open the properties pane, and view the Rating column:
    • The average rating for the document is indicated by the number of blue stars.
    • Hover over the stars to view your own rating of the document.
    • Grayed stars indicate that the document has not been rated yet.



To view the rating of all SharePoint documents in a location, or sort documents by rating, add Rating to the list of visible columns.

Editing document rating

All documents on SharePoint 2010 server can be rated, if the feature is activated on the server, and enabled in the library.

To edit the rating of a document:

  1. View the document rating as explained above.
  2. Click a star to rate the document or update your rating. The stars turn yellow to indicate you are viewing your own rating, and not the average rating.
  3. To view the average rating of a document you just rated, refresh the document list. Note, however, that SharePoint updates the average rating once an hour, by default.
