Adding and Editing SharePoint Sites to Access from Lotus Notes

To start working with SharePoint sites from Lotus Notes, you must first add the SharePoint sites that you want to access from Lotus Notes.

Start the application as described in Launching Mainsoft SharePoint Integrator. The Add SharePoint Site dialog can be launched from the sidebar panel, or from the Preferences dialog:

  • In the sidebar, click the plus button in the drop-down list displaying all the configured SharePoint sites.

Use the Add Site button in the sidebar to add a new SharePoint site.

    - or -
  • From the application menu, open File > Preferences…, select the SharePoint category, and then click the Add Site… button.

The Add SharePoint Site dialog opens:

In the Add SharePoint Site dialog you enter the URL and credentials for connecting to the site.

  1. Enter the URL (Internet address) for the SharePoint site that you want to add. Both the standard HTTP and secure HTTPS protocols are supported. This field must contain the protocol prefix (http:// or https://).
  2. Select the Hide subsites and workspaces check box if you do not wish to display SharePoint subsites and workspaces in the SharePoint Documents panel. By default, subsites and workspaces are displayed.

    Notes:

  • In the Preferences dialog, the SharePoint Sites list uses an icon (see the Preferences screenshot below) to indicate whether subsites are displayed for the site, or not.
  • If subsites are not visible in the sidebar and the Hide subsites and workspaces check box is not selected, this indicates that your SharePoint user does not have the right permissions. Contact your SharePoint administrator to change your permissions. More information about browsing subsites is available in the Mainsoft knowledge base article SharePoint Configuration Requirements for Mainsoft SharePoint Integrator.
  • Select Use Windows credentials to connect to the SharePoint site with the logged in Windows user’s user name and password. Alternatively, click Use custom credentials to provide a User name and Password to access the site. If needed, include a domain name in the form user@domain.
  • Click the Test Connection button to verify that the connection succeeds. If the connection fails you will be presented with the Failed to Connect dialog, which contains more details about why the connection failed. From this dialog you will also have the option to submit an error report to Mainsoft support, to help you diagnose the problem. The URL and user name is included in the data that is sent to Mainsoft support, while the password is not sent.

The Failed to Connect dialog gives you the option to submit an error report to Mainsoft support.
  • Click OK to add the site and close the Add SharePoint Site dialog.

The SharePoint Sites list uses an icon to indicate whether subsites are displayed for the site, or not.

    Notes:

    • SharePoint sites can also be centrally provisioned to the user by the Domino administrator. Provisioned sites cannot be removed by the user. Instructions for provisioning sites are available in the Administration Guide.
    • New SharePoint sites get the title as defined on the server. To give the site a different label in the sidebar, you can edit the site as explained in the section below.
    • When registering the first SharePoint 2010 or MOSS 2007 site, the SharePoint server is automatically set as the social server.
    • To connect to your SharePoint sites via a proxy, configure this by following the steps in Configuring proxy settings.

    Editing SharePoint sites

To edit a configured SharePoint site:

    1. From the Lotus Notes application, open File > Preferences…, and select the SharePoint category.
    2. In the SharePoint Sites list, click the site you want to edit, and then click the Edit Site… button. The Edit SharePoint Site dialog opens.
    3. The dialog fields are explained above. In addition, there is a Title field, which lets you rename the SharePoint site label for easy identification in the sidebar. Edit the fields you want to change, then click OK.

To remove a configured SharePoint site:

    1. From the Lotus Notes application, open File > Preferences…, and select the SharePoint category.
    2. In the SharePoint Sites list, click the site you want to remove, and then click the Remove Site button.
