Adding and Editing Repeating Events

SharePoint events can be configured to repeat. You can make new events repeat or change the repeat options of an existing SharePoint event. Here's how:

From the SharePoint event form, click the Repeat Options... action bar button, or the Repeat link inside the form.

You can open the Repeat Options dialog by clicking the Repeat Options... button on the action bar or the Repeat link in the SharePoint event form.

This opens the Repeat Options dialog from where you can edit the repetition pattern of the current event:

The Repeat Options dialog lets you set the repetition pattern of the event.

In the Event time group, you can set the Start and End times of the event, or alternatively select the event to be an All day event.

In the Pattern group, you can set how often the event repeats. As you change the selection of the radio buttons on the left (Daily, Weekly, Monthly and Yearly), the controls to the right change. You can set:

  • Daily events to occur Every x day(s), or Every weekday. Weekdays are defined as Monday through Friday by SharePoint.
  • Weekly events to Repeat every x week(s) on one or more set days of the week.
  • Monthly events to occur on Day x of every y month(s) or on the first, second, third, fourth, or last day (where day can also be set to weekday, weekend day, or any day of the week) of every z month(s).
  • Yearly events to occur on Every fixed date of the year, or on the first, second, third, fourth, or last day, weekday, weekend day, or day of the week of a given month.

In the Range group, you specify when the series of events starts and ends. Specify a Start date, and select when the repetition ends. The options are No end date, End after x occurences, and End by a specific date.

To remove the repetition of an event and change it into a single event, click the Remove button in the Repeat Options dialog.

You can identify repeating events by the icon in the upper left corner in the SharePoint event tab:

When you open a repeating SharePoint event in Lotus Notes, the Open Repeating Event dialog opens, asking if you want to Open this occurrence or Open the series.

From a SharePoint event that belongs to a series, you can quickly navigate to the entire series by clicking Edit Series… in the action bar.

Creating exceptions to repeating events

You can create exceptions to a series of repeating events. To do this, from Lotus Notes double-click the event occurrence you want to change. When prompted with the Open Repeating Event dialog, select to open the single event. Any changes you make in the SharePoint Event tab is saved to the single event only and not to the series. For example, you can change the event start and end time or delete this event.

When you edit a single occurrence in a series it becomes disconnected from the series of events. Any later edits of event details for the series will not be reflected in the exception.
