How to Use SharePoint Integrator for Lotus Notes - Getting Started

Welcome to Mainsoft SharePoint Integrator for Lotus Notes

Thank you for choosing Mainsoft SharePoint® Integrator for Lotus Notes®, the easy-to-deploy, client-side application that gives you access to Microsoft SharePoint sites from within Lotus Notes. You can use Mainsoft SharePoint Integrator to browse through SharePoint sites and libraries, view or edit documents, attach documents and links to Notes applications, or publish e-mail messages to SharePoint sites. The SharePoint Integrator also allows you to integrate your SharePoint calendars into your Notes 8.5 Calendar application.

Registering a license file

Mainsoft SharePoint Integrator for Lotus Notes is available to download for a 30-day free trial. Once the 30-day evaluation period ends, you will need a valid license file to continue working. Contact sales@mainsoft.com to obtain a valid license file, and then follow the instructions under Registering a license file.

Launching Mainsoft SharePoint Integrator

The SharePoint Integrator installs into the sidebar of Lotus Notes 8.x. If you are working with an older version of Lotus Notes, or run Lotus Notes in Basic Configuration, you should work with a standalone version of the application.

To launch the SharePoint Integrator:

  • In Lotus Notes 8.x, open the SharePoint Documents sidebar panel, located to the right in the Lotus Notes application. If the sidebar is closed, you can open it from the View > Sidebar menu.
  • In Lotus Notes 6.5.x, 7.x, and 8.x (Basic Configuration), launch the standalone application of Mainsoft SharePoint Integrator for Lotus Notes from the Start menu or from the notification area on the Windows taskbar.

Adding a SharePoint site

Use the Add Site button in the sidebar to add a new SharePoint site.

Now, add the SharePoint site(s) you want to access from Lotus Notes. In the SharePoint Documents panel, click the + button in the SharePoint sites drop-down list. The Add SharePoint Site dialog opens.

In the Add SharePoint Site dialog you enter the URL and credentials for connecting to the site.

Enter the URL (Internet address) of the SharePoint site that you want to add. Specify credentials for connecting to the site, and click the Test Connection button. You can now start working with the product.

Navigating SharePoint sites

Once you add a SharePoint site to the application, you can navigate the site contents from the SharePoint Documents sidebar.

The sidebar panel gives you easy access to all your SharePoint sites.

The drop-down list shows all the SharePoint sites you added to SharePoint Integrator. Select the site you want to access.

The document list shows you the subsites and document libraries of the active site. Double-click a subsite or document library to view its content. The toolbar gives you access to navigate the site quickly:

  • Use the Back and Forward buttons and the history to navigate through recently visited locations.
  • You may add a location to your Favorites list, using the Favorites drop-down button.

Working with SharePoint documents

The Mainsoft SharePoint Integrator toolbar also allows you to create, upload, and delete documents on SharePoint, as well as search for SharePoint documents.

The SharePoint Integrator toolbar gives you quick access to common navigation controls.

The document context menu gives you quick access to common SharePoint operations.

Right-clicking a SharePoint document opens a context menu that gives you access to common SharePoint operations. From here, you can copy documents and links to Notes applications or to your computer; check in and check out documents; view version history and document properties; publish and approve documents; etc.

Accessing SharePoint calendars

The Mainsoft SharePoint Integrator allows you to work with SharePoint calendars from the Notes 8.5 Calendar application, and optionally synchronize them with a mobile device. This helps you coordinate your personal meetings and events with your team schedules.

To start, add a SharePoint calendar to Notes:

  1. Expand the Show Calendars section in the Notes Calendar application’s left sidebar.
  2. Click the Add a Calendar… text link and use the Add a Calendar dialog to configure a new SharePoint calendar.

The SharePoint button allows you to add, edit, and delete SharePoint events.

You can also copy events from a SharePoint calendar to your personal Notes calendar, and vice versa.

SharePoint and e-mail

Mainsoft SharePoint Integrator allows you to save, share, and archive e-mail messages on SharePoint.

To save a Lotus Notes e-mail message on SharePoint, drag it from your Inbox (or any other folder) to a SharePoint document library. The message is saved in .eml format, preserving the message and its attachments. Also, the e-mail headers are mapped to SharePoint metadata.

You can also add a SharePoint link or attachment to your outgoing e-mail message by dragging it from the SharePoint documents panel to the message.

An optional SharePoint button (requiring an update to the Lotus Notes Mail template) allows you to perform e-mail related operations in the Lotus Notes Mail application, including saving e-mail messages or attachments to a preconfigured location on SharePoint, and attaching SharePoint documents, or document links to your e-mail.
