Finding SharePoint documents

The SharePoint Integrator sidebar allows you to find a SharePoint document or a SharePoint location, using one or more of the following methods:

  • Navigate the subsites, document libraries, folders, and documents of the added SharePoint sites.
  • Use the navigation history to quickly navigate back and forth between visited locations.
  • Go to a favorite location.
  • Search for content in the added SharePoint sites.
  • Select a SharePoint view, to view files associated with it.
  • Filter the document list by tags.
  • Sort the SharePoint documents to easily locate a document.
  • Refresh the list to view changes made on the SharePoint server.

Navigating SharePoint sites and libraries

Before you can start to navigate in the sidebar, you need to add a SharePoint site, as described in the help topic Adding and editing SharePoint sites. Then, you need to open the Mainsoft SharePoint Integrator sidebar panel, as explained in Launching Mainsoft SharePoint Integrator.

The drop-down list in the sidebar panel lets you quickly switch between all SharePoint sites that are configured in your preferences. Subsites (if configured to be shown), document libraries, folders, document sets and documents are listed in the document list, the main area of the sidebar. Double-click a subsite, document library, folder, or document set to navigate to it and view its contents. When applicable, the topmost entry is displayed as “..” and links to the parent location when double-clicked.

SharePoint Integrator complies with the permission levels defined by the SharePoint administrator and will allow you to view documents depending on your logged in user's permissions.

The sidebar tracks a list of recently visited locations, allowing you to easily navigate back and forth between them. To learn more, read Using the navigation history.

The status pane at the bottom of the sidebar panel shows you the breadcrumbs (parent elements) of the current location. Right-clicking any of the elements in the breadcrumbs opens the context menu from where you can select Open in Browser or Copy Link. The star to the left indicates if the location is marked as a favorite. More information on handling favorites is available in the help topic Adding favorite locations.

Selecting a SharePoint view

Every SharePoint document library has one or more views to control how items are displayed in the Web browser. The SharePoint Integrator lets you view the library using these aspects of the defined view:

  • Filter. Documents and folders can be filtered by criteria. For example, the view can define only items of a specific content type to be shown.
  • Sort order. Items can be sorted by one or two columns.
  • Columns. The view can also define a set of visible columns for a document library.
  • Folders Specify whether to navigate through folders to view items, or to view all items at once.
  • Click the view button on the sidebar toolbar to select a view.

    To select another view for the current library, click the Select View icon in the toolbar and select a view.

    When a view is selected, the Select View icon is yellow, and the breadcrumbs panel indicates the selected view. If no view is selected, the icon is blue.

    The view button is orange to indicate that a view is active.

    To close the selected view, and see all items in the library with the columns defined in the Visible Columns dialog, click the Select View icon again and select No View.

    Note: Per-Location View Settings are not supported in the sidebar.

    Configuring Views setting

    When you navigate to another document library, the selected view is reset. By default, No view is selected; you will see all files, and the columns you configured to view.

    To view the library default SharePoint view when you enter a new library (if you have already visited the library, the last used location is remembered), open File > Preferences > SharePoint, and select Columns > Use the default SharePoint view.

    This feature applies to SharePoint 2010 sites only.

    To filter the document list by tags:

    1. Click the Filter by Tags icon in the sidebar and start typing a term in the Tags Filter bar. All the terms that begin with the characters you type are displayed, including both managed terms and enterprise keywords. The term set in which the term exists is displayed in brackets.
    2. Select a term from the suggested list.
    3. Select the Apply Filter icon.
    4. The matching documents are displayed in the sidebar panel. The breadcrumbs panel shows the term you filtered, and how many documents match this term.

    To close the filter and view all documents, click the Close Filter icon.

    Sorting

    The list of SharePoint items in the current location can be sorted by any visible column, such as Name, Modified By, or Rating, by clicking a column header in the SharePoint Integrator sidebar. Clicking an already sorted column header reverses the sorting order.

    You can also sort the SharePoint items by selecting Sort By from the document list's context menu, when no item is selected.

    Refreshing the document list

    Click the Refresh button to reload the document list, and to view changes made to the SharePoint location and its server settings. You can also refresh the document list by using the keyboard shortcuts F5.
