Copying SharePoint Events to Your Personal Calendar

Copying SharePoint events to your personal Lotus Notes calendar brings team events to your personal schedule and facilitates resource scheduling. It helps you to ensure that team events do not conflict with your personal appointments. Furthermore, it allows you to invite other Lotus Notes users, by adding them as required, optional, or FYI participants to a SharePoint event copied into a Lotus Notes calendar meeting entry.

To copy a SharePoint event to your Lotus Notes calendar:

  1. Open the SharePoint event you want to copy.
  2. Click the Copy to My Calendar menu button and select Meeting, Appointment, or All Day Event to copy the SharePoint event to Lotus Notes as a meeting, an appointment, or an all day event.

    The Copy to My Calendar menu lets you copy a SharePoint Event to your personal Lotus Notes calendar.

    Notes:
    • The All Day Event option appears only when copying an all day SharePoint event.
    • You can also access the Copy to My Calendar function, by selecting a SharePoint event and opening the SharePoint button on the Calendar view’s action bar.
    • Only the Meeting option allows you to invite participants to your event.
  3. If the SharePoint event contains attachments, they will be downloaded and attached to the Lotus Notes calendar entry. If the operation takes time, you can click the Run in Background button to continue working as the attachments are downloaded. An Always run in background check box is also available.
  4. A new Lotus Notes calendar entry opens, containing the SharePoint event details. You can edit the calendar entry, before saving it.
