Attaching SharePoint Documents to E-Mail Messages
With Mainsoft SharePoint Integrator it is easy to add copies and links of SharePoint documents to your outgoing e-mail messages. By default, a document hyperlink (also known as a Lotus Notes link hotspot) is created when you drag a document from the sidebar. Creating a hyperlink and not a document copy allows you to manage document revisions effectively, as well as to save storage space on your e-mail server. Note that SharePoint document links are only available to recipients that have access to the SharePoint library, and have sufficient permissions to view the document.
To change the default action when attaching SharePoint documents, open Preferences > SharePoint, and select the check box Drag files instead of document links to Lotus Notes applications. To reverse the behavior set in the preferences, hold the Alt key while dragging a document from the sidebar.
Attaching SharePoint document links
In addition to dragging a document to an outgoing e-mail message, you can insert the URL of a SharePoint document in an e-mail message. Right-click a document in the sidebar and select Copy Link; then paste the link into the e-mail message body.
Note: Lotus Notes versions 6.5.x and 7.x do not create Lotus Notes link hotspots when dragging documents, but rather URLs in text format. To create a link hotspot, select Copy from the document context menu and paste it in the e-mail message body.
Another option for attaching document links is to use the SharePoint button located in the action bar of an outgoing e-mail message. Select Insert a document link, browse through the configured SharePoint sites, and select the document you want to attach. Click the Add Site button if you want to add a new SharePoint site to Mainsoft SharePoint Integrator.
Note: The SharePoint button is an optional component. Read more about the features it provides and how to install it in Working with e-mail.
