Downloading & Attaching SharePoint Documents to Lotus Notes Applications

Mainsoft SharePoint Integrator allows you to attach SharePoint documents to different applications in Lotus Notes. The SharePoint documents can also be downloaded as local copies to your computer, where you can work on them in a non-collaborative environment.

Attaching SharePoint documents to Lotus Notes applications

To attach a SharePoint document to your Lotus Notes application, drag it from the sidebar into an area of a Notes application that can receive files (see list below). By default, a document hyperlink (also known as a Lotus Notes link hotspot) is created when you drag a document from the sidebar. Using hyperlinks and not document copies allows saves storage space on your e-mail servers and is a better collaboration practice. Note that SharePoint document links can be used only by users who have access to the SharePoint server, and have sufficient permissions to view the document.

To change the default action when attaching SharePoint documents, open Preferences > SharePoint, and select the check box Drag files instead of document links to Lotus Notes applications. To reverse the behavior set in the preferences, hold the Alt key while dragging a document from the sidebar.

Notes:

  • This setting does not affect drag-and-drop operations to Windows Explorer, where document copies are always created.
  • Lotus Notes versions 6.5.x and 7.x do not create Lotus Notes link hotspots when dragging documents, but rather URLs in text format. To create a link hotspot, select Copy from the document context menu and paste it in the e-mail message body.

In Preferences you can set the behavior when dragging documents from the sidebar to Notes applications.

You can drag SharePoint documents to these Lotus Notes locations:

  • An e-mail message body, for creating an e-mail attachment (read more in Working with e-mail)
  • A Notes calendar entry's description
  • A SharePoint calendar event's attachment area (read more in Accessing SharePoint calendars)
  • A Sametime® chat window (read more in Integrating with Sametime for instant messaging)
  • A To Do item's description
  • A Contact's comments area
  • A Notebook entry

Downloading documents from SharePoint

The document context menu lets you download SharePoint documents.

You can download a document from SharePoint to your computer by any of the following methods:

  • Drag one or more documents from the sidebar to the Windows Desktop or a location open in Windows Explorer.
  • Right-click a document and select Save As... from the context menu. From the Save As... dialog that opens, select a location on your computer where to save the document.
  • Right-click a document and select Copy from the context menu. Then Paste the document to a location on your computer.
