Working with documents
The following operations may be performed on folders and documents in the document list. Many of the operations can be performed on multiple selected documents simultaneously. To make multi-selections, press the Ctrl key while selecting.
When you drag a document from the Document view, a document link will be created. To create a copy of the document, hold the Ctlr key when dragging it.
To associate a Rational Team Concert work item with a document, do the following:
You can configure the work item resolution process to depend on a document workflow or approval process. This allows you to link a work item to a document, so that the work item cannot be resolved until the document is approved or its workflow is completed. To learn how to do this, read Linking a work item resolution process to a document workflow.

In the Microsoft SharePoint edition of Document Collaboration for Rational Jazz, you can associate a comment with your check-in operation.
Open a document or location
Right-click a document and select Open (or double-click the document) or Edit to open and view a document. To learn more about editing documents in Document Collaboration read editing documents.Properties
Note: This operation is not available in the Lotus Quickr edition of Document Collaboration for Rational Jazz.

Drag-and-drop
Documents can be copied to and from the Document view using the drag-and-drop feature. Documents can be dragged to Rational Team Concert, a Sametime chat window, or the Desktop. More information about uploading files to document libraries can be found in the Upload a document section.When you drag a document from the Document view, a document link will be created. To create a copy of the document, hold the Ctlr key when dragging it.
Link a work item to a document
Associating work items with document workflows and approvals enables other users of the Document Site to participate in the development process, using their standard document collaboration tools.To associate a Rational Team Concert work item with a document, do the following:
- Drag the document from the Documents view to the Links section of the work item.
- A menu opens (see below). Select Add as Related Document.

You can configure the work item resolution process to depend on a document workflow or approval process. This allows you to link a work item to a document, so that the work item cannot be resolved until the document is approved or its workflow is completed. Create a new folder or document
Click the New button on the Documents view’s toolbar to create a new document of the current document library’s default type. The arrow next to the New button lists the available content types for documents and folders.
Delete a folder or document
Click the Delete button to delete the selected documents or folders from the Document Site.Refresh the display
Click the Refresh button to refresh the displayed location, and to view changes made to the document library or its server settings.Open in browser
Right-click a site, document library, or folder, and select Open in Browser to navigate to its corresponding Web page in the browser. Depending on the settings in Window > Preferences… > General > Web Browser, the page opens in Rational Team Concert or in a standard Web browser.Save a document
Right-click a document and select Save As… to save a local copy of a document to a specified location.Copy documents
Right-click one or several documents and select Copy to copy the selected documents to the Clipboard. You may also copy documents with a drag-and-drop action.Cut documents
Right-click one or several documents and select Cut to cut the selected documents to the Clipboard. Currently, moving documents using Cut only works when pasting the Clipboard contents inside the Documents view. Moreover, the document’s meta-information, such as document properties, workflows, approval status, and content type, is lost.Copy as link
Right-click a selection and select Copy as Link, to place the URLs of the selected items on the Clipboard.Check-in, check-out a document
Right-click a document and select Check In, Check Out, or Discard Check Out to perform the corresponding document management command.In the Microsoft SharePoint edition of Document Collaboration for Rational Jazz, you can associate a comment with your check-in operation.
View version history
Note: This operation is not available in the Lotus Quickr edition of Document Collaboration for Rational Jazz.
Right-click a document and select Version History to view the history of a document. The dialog that opens allows you to open, delete, restore, or copy the link of an older version of a document, and to view the comments of each version. By copying the link, it is possible to link a non-modifiable version of a document to a work item, for example. Old versions of documents that are linked to work items cannot be used to enforce document workflow preconditions.
View workflows
Note: This operation is not available in the Lotus Quickr edition of Document Collaboration for Rational Jazz.
Right-click a document and select Workflows to open the SharePoint Web page for starting a new workflow for the document or to view the status of running workflows.
Subscribe to an RSS feed
Note: This operation is not available if the SharePoint site uses Windows credentials.
Right-click a document library and select Subscribe to Feed to subscribe to the document library’s RSS feed. This adds a new item to the Feeds folder in Team Artifacts, and lets you stay up-to-date with changes in the document library.
Configure document library settings
Note: This operation is not available in the Lotus Quickr edition of Document Collaboration for Rational Jazz.
Right-click a document library to access the Settings submenu to configure the following Microsoft SharePoint settings:
- Feed: Opens the SharePoint Web page for updating the RSS settings for the document library.
- Content approval: Opens the SharePoint Web page for configuring versioning settings for the document library, including content approval and version history settings.
- Workflows: Opens the SharePoint Web page for configuring workflow settings for the document library.
Show draft views
Note: This operation is not available in the Microsoft SharePoint edition of Document Collaboration for Rational Jazz.
Right-click a document library to access the Draft Views submenu to show the following Lotus Quickr settings:
- Working Drafts: Opens the Quickr Web page for viewing all working drafts in the document library.
- Submitted Drafts: Opens the Quickr Web page for viewing all submitted drafts in the document library.
- Drafts to Approve: Opens the Quickr Web page for viewing all drafts to approve in the document library.
Sorting
Note: This operation is not available in the Lotus Quickr edition of Document Collaboration for Rational Jazz.
The list of items in the current location can be sorted by any visible column, by clicking on the column headers in the Documents view.
